ChefWithPen
Privacy Policy
Last updated: 2 August 2026
This Privacy Policy explains how ChefWithPen collects, uses, stores and protects personal information associated with the website and service.
1. Who we are and scope
ChefWithPen provides a cloud-based food-operations platform. This policy applies to website visitors, trial users, customer administrators, authorised users and people who contact us. Privacy enquiries may be sent to info@chefwithpen.com.
2. Account and contact information
We may collect names, business email addresses, telephone numbers, job roles, organisation details, login identifiers, verification status and support communications when you register, subscribe, request a demonstration or contact us.
3. Organisation and subscription information
We process company, site, billing region, selected modules, plan, trial, subscription, invoice and transaction-reference information needed to configure and administer the service. Full payment-card details are normally handled by the payment provider.
4. Operational service data
Customers may enter recipes, ingredients, suppliers, inventory, batches, staff assignments, training, food-safety checks, corrective actions, traceability records, approvals, reports and other operational information. The customer determines what it enters and who may access it.
5. Technical, usage and security data
We may collect IP address, browser and device information, timestamps, authentication events, audit events, error information, pages or functions used and diagnostic logs to operate, protect and improve the service.
6. Country and currency detection
The pricing page may request an approximate country code from a third-party IP-country service to suggest a supported currency. It does not request precise GPS location. Visitors can manually choose a different region, which may be stored in browser local storage.
7. Cookies and local storage
Essential cookies or browser storage may be used for sign-in, security, language, session and preferences. This static marketing website does not require advertising cookies. If optional analytics or advertising tools are introduced, required disclosures and consent controls should be added before activation.
8. How information is used
Information is used to provide and configure the service, authenticate users, manage subscriptions, deliver requested communications, support customers, monitor security, preserve auditability, prevent abuse, improve reliability and meet legal obligations.
9. Legal bases
Where applicable, processing may rely on performance of a contract, steps requested before a contract, legitimate interests in operating and securing the service, compliance with law, and consent where the law requires it.
10. Service providers and disclosure
Information may be shared with contracted hosting, email, payment, monitoring, support and professional-service providers only as needed for their services and subject to appropriate obligations. We may also disclose information when legally required, to protect rights or safety, or during a legitimate business reorganisation.
11. International transfers
Service providers or customers may operate in different countries. Where personal information is transferred internationally, reasonable contractual, organisational or legal safeguards should be used as required by applicable law.
12. Retention and security
Information is retained for the time needed to provide the service, maintain security and audit records, resolve disputes and meet contractual or legal requirements. We use access controls, encryption where appropriate, logging, backups and other safeguards, but no system can guarantee absolute security.
13. Your rights and choices
Depending on local law, individuals may request access, correction, deletion, restriction, objection, portability or withdrawal of consent. Requests may be subject to identity verification, customer instructions and lawful retention requirements. You may also complain to the relevant data-protection authority.
14. Children, changes and contact
The service is intended for organisations and is not directed to children. We may update this policy as practices or laws change and will publish the revision date. Questions and rights requests may be sent to info@chefwithpen.com.
This policy should be reviewed against your actual hosting, processors, contracts, retention schedule and applicable privacy laws before launch.
